Instructions for presenters

Oral presentation

Metamaterials 2021 will be run virtually, through the Zoom web Conferencing Platform. Basic instructions about this platform can be found here. You can choose to either present your talk live during the session or to send a pre-recorded video of you talk (with deadline September, 6) that will be played during the live session by the Session manager. Please note that if none of these options will be used, the paper will be considered as “no-show” and will not be published in the Conference proceedings.

We also encourage you to post a poster summary of your paper on Twitter using the tagline #mtm2021NYC, starting one week before the conference.

Live talk

If you opt for the live presentation, you have to join your session at least 15 minutes early of the assigned time-slot using the dedicated link. When it is your turn, you should present your talk as in a physical meeting conference. Each session will proceed in the order identified, maintaining the schedule. As in a regular meeting, each talk will be comprised of a presentation and subsequent, dedicated Q&A. The session manager will read questions submitted by participants to the speaker. The maximum talk duration (Q&A included) is 15 minutes for regular talk and 30 minutes for invited presentation.

In preparation for the meeting, if you are not familiar with the platform please download the test via Zoom Test (https://zoom.us/test).  For the best experience, please use your webcam and test your audio. Please note that you have to “Share” your screen during the presentation and keep the webcam on so that attendees can view you during your presentation.

Please, be sure to use a stable and fast connection for your live presentation.

Pre-recorded talk

If you cannot attend your session live or you prefer to send a pre-recorded registration of your talk, please inform the organizer with an email ( This email address is being protected from spambots. You need JavaScript enabled to view it. ) before August, 27. The deadline for uploading your pre-recorded talk is September, 6. All the presenter who have informed the organizers will receive by email the instructions to upload their video(s).

The recorded video should be in .mp4 format and should have a 640*480 resolution. The file name should have the following format: PresenterLastName_FirstThreeTitleWords.mp4). Please, add an email address in the last slide of your presentation to allow interested people to contact your for questions. There many tools you can use to record your presentation: for example, it can done directly in PowerPoint (click here for a simple tutorial). The narrated presentation, created as described in the previous link, can be finally exported in .mp4 format.

The maximum duration of the recorded video is 15 minutes for regular talk and 30 minutes for invited talk (no exceptions allowed). Instructions to upload the video of your presentation will be provided soon.

You can choose to send a pre-recorded talk and attend the session live to address questions from the audience, provided that your video is shorter than the allocated time slot to allow time for questions.

Poster presentation

Zoom-based poster sessions are organized for poster presentation. Basic instructions about this platform can be found here. Each poster session includes a maximum of 15 brief presentation followed by a Q&A session.

In order to present your poster, you need to send the organizers a one page ppt or pdf of your poster, and a pre-recorded 3-minute video of your presentation detailing your poster by September, 6. Please note that, if the video will not be received, the paper will be considered a “no-show” and will not be published in the Conference proceedings. Your 3-minute presentation will be played during the dedicated poster session together with the others in the session, and it will be followed by a Q&A session in which we will showcase your poster slide. Your participation to the poster session to interact with the audience and address questions is highly encouraged.

We also encourage to post the poster ppt or pdf on Twitter using the tagline #mtm2021NYC starting one week before the conference. We will advertise all posters submitted with this tagline, and encourage discussions and questions over Twitter.

The maximum duration of the recorded video is 3 minutes (no exceptions allowed). All the poster presenters will receive by email the instructions to upload their video(s).
